When planning a corporate photoshoot and requesting estimates from a photographer, a clear brief helps you frame what you need and makes the estimate process faster and more accurate. I’ve created this checklist to help you prepare your request with confidence and ensure your goals are met, you stay within budget, and everything runs smoothly from the start.

Why Clear Details Matter

As a London-based corporate photographer I am regularly asked to provide estimates for corporate and LinkedIn headshots. It's understandable that clients may not fully understand what to ask for, or or not yet be in possession of all key details — for example, the number of people, the types of images, or the quantity of final edits.

Here’s a typical example of what I receive, which is difficult to estimate for as I don't yet know everything involved:

“Please can you give an estimate for about 8–10 people, for headshots and also a series of relaxed photos and probably some group shots too.”

Some photographers may simply quote a day rate and adapt as needed. My approach is different — I believe the best results come from knowing exactly what you need before the shoot begins. That way, we can plan efficiently, stay focused on your needs, and make sure we achieve your goals before the end of the session.

Your Corporate Photoshoot Planning Checklist

Here’s a simple checklist to help you plan and request an estimate. I provide corporate photography services where every project is different, but thinking through these points will help us both work efficiently and ensure the final imagery delivers exactly what you need.   1. What is the aim?
    Think about the purpose of your photography. Is it to support your branding, refresh your team’s profiles, or promote a campaign? A clear goal will shape the entire creative approach.
  2. Where will the imagery be used?
    Consider where the photos will appear — your website, LinkedIn, press releases, print brochures, or conference materials. If they’ll sit within a specific page layout, note any size or orientation needs such as banner crops, landscape or vertical formats.
  3. What types of imagery do you need?
    Do you want clean, professional headshots on a plain background, or something more natural and workplace-focused? If you prefer a backdrop, what colour would best fit your brand? If you’d like environmental portraits or lifestyle images, where will those be taken? Check whether permission is required to photograph in certain areas — some building management teams need a risk assessment or health and safety clearance before allowing photography.
  4. Do you have any reference images or a mood board?
    Providing sample images is incredibly useful. It helps me understand how you envisage the imagery you need.
  5. How many finished images do you need per person?
    Knowing the number of final selects helps structure the shoot — for example, whether we’ll need multiple poses (sitting, standing etc), backgrounds, or wardrobe changes. 
  6. How many people are involved?
    Confirming the number of subjects in advance helps with scheduling, but also workload. Shooting the same set up for eight subjects with one final image each is very different to eight subjects and four different looks each.
  7. Are there any specific timing requirements?
    Senior staff availability can sometimes be tight. If timings are fixed or the shoot needs to work around meetings or events, please share this early so we can plan accordingly.
